The Job You Will Perform:
The Purchase Order Coordinator is responsible for the accurate and timely processing of:
- Approved purchase requisitions into purchase orders (POs) in SAP.
- Ensure that each PO complies with internal standards related to GL accounts, cost centers, material groups, and other procurement controls.
- Confirm the PO receipt with suppliers, monitors open orders, identifies discrepancies, and maintains accurate procurement records.
- Tracking procurement indicators such as overdue goods receipts and pending invoices.
- Promptly report any risks, unsafe conditions, or incidents according to established channels and procedures.
- Operate with integrity in accordance with the company’s Code of conduct for employees and third parties. Report any concerns or potential violations using the appropriate channels.
- Purchase Order Processing: Convert approved requisitions into purchase orders in SAP, ensuring data accuracy, completeness, and compliance with procurement policies.
- Supplier Communication: Ensure suppliers receive all issued purchase orders. Follow up to confirm receipt and resolve any issues or misunderstandings regarding the order.
- Data Validation & Corrections: Review and correct POs for accurate GL account, cost center, material group, vendor data, and other key fields.
- PO Maintenance, close POs that have been fulfilled or are no longer needed.
- Maintain PO status in SAP to reflect the latest transaction history and ensure clean data for reporting.
- Track key indicators such as: days past due without a goods receipt (GR), days between GR and invoice receipt and outstanding POs or partial receipts
- Provide data to buyers and other team members as required.
- Maintain accurate digital records of procurement transactions and follow documentation requirements according to company policy and audit standards.
- Actively participate in required safety training and workplace safety conversations.
The Qualifications, Skills and Knowledge You Will Bring:
- Bachelor’s degree in Business Administration, Supply Chain, Accounting, or a related field preferred.
- 2+ years of experience in procurement, supply chain, account or in similar roles.
- Proficiency in both English and Spanish, with strong communication skills is preferred.
- Ability to effectively present information and respond to questions from managers and/or employees.
