Project Coordinator

 

The Project Coordinator position is part of a team responsible for working with our Retail Sales Team, internal and external vendors, and suppliers in managing customer projects for packaging account base and display business.  This position applies established processes to meet the needs of customers during the completion of projects, operates within defined systems or parameters (HRMS, SAP, databases, customer’s systems), and facilitates scheduling, material planning, inventory replenishment and tracking, sales order entry, miscellaneous invoicing, and records management.  This is mid-level non-exempt position that reports to the Project Manager Team Lead.  Our Indianapolis Retail Packaging and Display facility is primarily engaged in the execution of packaging programs and point-of-purchase displays for major retail channels. 

 

Responsibilities:

  • Builds order specifications, prepares material plans, places orders for materials with pre-approved vendors, creates bill of materials, enter sales orders in the order entry system, handles miscellaneous invoicing, and maintains appropriate records. 
  • Supports sales in quoting and estimating projects by applying established pricing methodologies. Prices under established margins and delivers quotations.
  • Coordinates production requirements, inbound product, shipping, and inventory management. Leads preproduction meetings and develops time lines for order/project execution by acting as filters of information and facilitator of communication flow between departments in the facility and external parties. May recommend order changes based on account and manufacturing knowledge.
  • Investigates and resolves customer complaints by involving appropriate departments within facility. Seeks guidance for process solutions; limited authority to resolve issues within current processes.
  • Handles project-based accounts with frequent changes versus “repeat” business.
  • Coordinates appropriate approvals including proof approvals, draw-downs, press checks, and design changes incorporating understanding of art, bleed, and registration for production. May lead or participate in First Article Check/Press Checks to validate that the display is built according to specifications.
  • Sets up new warehouse accounts requiring building, monitoring, replenishing of inventory.
  • Learns the various aspects of contract packaging/fulfillment, including but not limited to multi-vendor programs (purchased product).
  • Is skilled at the basic fundamentals of project management and applies project management principles and established systems in the execution of the work.
  • High level of internal collaboration, frequent interaction, and effective communication with sales, project management, manufacturing, contract packaging, logistics, and finance in a fast-paced, constantly changing culture.
  • Support information flow with external and internal business contacts. Position has moderate interaction with customers, internal and external vendors, suppliers, and contractors.

 

Requirements:

  • One to three years work experience in customer service, business-to-business inside sales, order management, purchasing, or manufacturing planning.
  • Associate’s or BA/BS preferred; commensurate work experience in customer service, inside sales, or other order management roles.
  • Some corrugated and printing industry knowledge required; basic understanding of equipment capabilities and how orders can most effectively flow through the facility is highly desirable. Fundamental knowledge of company procedures, products, and services.
  • This position requires a high level of administrative, organizational, and communication skills, including exemplary telephone and e-mail etiquette and ability to present self in a professional manner.
  • Accuracy, thoroughness, attention to detail, timeliness/responsive, reliability, patience, listening skills, and interpersonal savvy are crucial.
  • Ability to multi-task and effectively use priority management skills is critical.
  • Must possess a disposition that thrives on a deep understanding of the details and ensures their execution.
  • Must demonstrate a proven track record of accurate data entry; well-developed skills in Excel, Word, PowerPoint, and SAP a plus; uses industry- and customer-specific computer systems.
  • Must be comfortable working independently on a day-to-day basis but equally adept at working closely with and influencing internal stakeholders to support the execution of projects.
