Human Resources Specialist

Pine Hill Mill

The Human Resources Specialist reports to the Human Resources Manager and is responsible for the daily activities associated with all HR functions.  Including, but not limited to:


  • Provide support to the HR leader and other HR Team Members as needed.  Also provide support as needed to the Lead Team Members, Finance, Safety, Operational and Maintenance Departments.
  • Maintain human resources records for all employees. 
  • Track Salaried Non-Exempt Time and process overtime uploads in a timely manner. 
  • Complete Electronic I-9 forms and maintain I-9 files for compliance
  • Assist in the development of presentation material, correspondence, department mailings as needed.
  • Champion and support the Mill HR Department with meeting corporate HR Goals through IPCP process, employee education, and effective communication – (ie. Employee Self Service)
  • Support the company’s annual records retention process
  • Support and administration of Mill Policies and Procedures; including periodic reviews and revisions as needed.
  • Ensure Posting Compliance
  • Support Mill Labor Relations activities as needed; including periodic negotiations, effect’s bargaining, contract interpretation, arbitrations and grievance research. 
  • Be able to perform all additional activities of other HR Support personnel as backup.  (Salaried employee records administration – including pay/job changes, AAP Reporting, New hire orientation) 
  • Maintain the HR SAP system for hourly and salaried personnel transactions.
  • Serve as Benefits Support - Subject Matter Expert.
    • Conduct Employee Informational Meetings for salaried and hourly employees regarding benefit changes.
  • Serve as FMLA – Leave Administrator
    • Serve as Liaison to Sedgwick CMS for employee issues
    • Provide guidance to employees on the Family and Medical Leave Act guidelines, including eligibility requirements and application process. 
    • Securely maintain all FMLA files according to Corporate retention guidelines.
    • Maintain confidentiality regarding medical information in accordance with HIPPA. 
  • Champion the SAP Recruitment Posting Process
    • Maintain and post vacancies as requested.
    • Monitor and provide candidate data.
    • Update candidate information as needed
    • Assist with coordination of logistical activities for candidates (travel arrangements, itineraries)
  • Gainsharing Payouts   
    • Provide reports to the Gainsharing Team for evaluation of potential quarterly Gainsharing Payouts (ie. Eligibility reports and Earnings Reports)
    • Process Gainsharing Payouts for eligible salaried employees.
  • Workbrain – Hourly Time Entry System – HR Coordinator 
    • Enter all New Hires/New Users
    • Serve as Location Administrator/ Labor Metrics & Troubleshooting issues



  • High School Diploma or equivalent
  • 2 to 5 years Human Resources experience
  • Discretion; Demonstrated ability to maintain sensitive and confidential information
  • Demonstrated Technical Skills (PC)
  • Proficiency in SAP and HR/Payroll systems
  • Ability to lead and support change (IPCP)

  • Functional/Technical Skills – must have technical knowledge of computer systems designed by corporate groups (i.e., SAP, Microsoft Word, Excel, and PowerPoint) and must be familiar with policies relating to the area of work (AAP, hiring procedures, job posting, college recruiting, etc.).
  • Integrity and Trust – due to the highly confidential material utilized in AAP, salaries, hourly earnings, career development planning, discipline matters, negotiations, etc., the incumbent must be widely trusted and have the ability to keep confidences.
  • Interpersonal Savvy – working with individuals up and down the organization from hourly personnel to corporate representatives requires the ability to relate to all kinds of people inside and outside the organization.  Must be able to use diplomacy and tact and be able to diffuse even high-tension situations.
  • Organizing – due to the nature of the position and handling multiple tasks from multiple sources, the incumbent must be able to arrange information and files in a useful manner.

Priority Setting – must have the ability to review the tasks at hand, establish deadlines, and set a priority system that will accomplish all work in an orderly manner that meets timelines.  Must create focus, eliminate roadblocks, and quickly sense what will help or hinder accomplishing a goal.
